Electronic W2 consent

Your employer is required by the IRS to provide each employee with a W2 form that states the employee’s compensation and tax withholding amounts for the calendar year on or before January 31stof the following year. The IRS permits the use of electronic W2 statements to meet this requirement. Starting this year, instead of paper copies, you may choose to receive the W2 statement electronically.

Benefits of receiving an electronic W2 statement are:  1) Earlier access 2) Less possibility of lost or stolen forms 3) Access via your email on your phone, tablet, or personal computer 4) May be downloaded into many tax preparation software programs

Employers must comply with specific IRS regulations to use electronic W2 and employees must provide their consent to receive an electronic W2 instead of a paper copy. This notice contains the required IRS disclosure information and instructions for you to consent to receiving your W2 electronically.  

IMPORTANT DISCLOSURE INFORMATION

1) If you do not consent to electronic delivery, you will receive a paper W2 in the mail, which will be delivered to the address that we currently have on file. 

2) Your consent to electronic delivery will apply to all future W2s unless consent is withdrawn.

You can send a withdraw of your consent to electronic delivery by sending an email to payroll@wright-choice.net or by sending a written request to our address on the contact us page.  Label the subject line W2 CONSENT WITHDRAWAL. Add the following to the body of the email – Effective today, I elect to withdraw my electronic delivery request for my W2 and include your full name, name of employer, your complete mailing address and telephone number.  Your withdrawal of consent will be effective on the date it is received and will be confirmed via email or in writing by the HR department. If consent is withdrawn, it will only be effective for those W2 statements not yet issued.

ACCESS OF W2

1) Employees who already have access to online pay stubs, will receive notification when the W2 is published, and you will log into the same system to download your form.

2) Employees who are receiving actual checks or printed stubs will receive an encrypted email with instructions to access and download the document.
